Painting invoicing

What belongs on a painting invoice

A month after the job, the client is standing in the hallway trying to match a scuff. A good painting invoice tells them what you painted, how you priced it, and exactly which paint went on the wall.

Price per room, per square foot or by the hour

Pick the unit you quoted in and keep it. Per room suits repaints: quantity 3, rate per room, with the rooms named in the details. Per square foot suits exteriors and new drywall: put the measured area as the quantity, say 2,150. Hourly suits small repairs and jobs where the scope is fuzzy, and the quantity takes decimals, so 6.5 hours bills cleanly.

Keep interior and exterior apart

Exterior work carries ladders, weather days and different products. Give it its own rows, even on a whole-house painting job, so the client can compare each half to your estimate.

Bill prep as its own line

Scraping peeling trim, patching nail pops, caulking and sanding are often half the labor on an old house. When prep is buried in the per-room price, the job looks expensive. On its own line, the client sees the work they never noticed you doing.

Put the paint in the line description

In each row's details, write the brand, color name and code, sheen and number of coats, for example "Brand, color name and code, eggshell, 2 coats." The invoice becomes the touch-up record, and the client stops calling to ask which white you used.

Lead paint in pre-1978 homes

Paint in homes built before 1978 may contain lead. Under the EPA's Renovation, Repair and Painting (RRP) rule, paid work that disturbs painted surfaces in those homes generally has to be done by a certified firm using lead-safe practices, and some states run their own EPA-authorized program. Check what applies, and note your certification number and the lead-safe work on the invoice.

Deposits and touch-up terms

Send a deposit invoice before you buy paint, then bill the balance and cite that invoice number. In terms, say how long touch-ups are free and what isn't covered, such as damage from moving furniture. The painting invoice guide covers payment terms in more depth.

FAQ

Frequently Asked Questions

Quick answers on painting invoicing and the generator.

Use whatever you quoted. Per room is common for interior repaints, per square foot for exteriors and new construction, and hourly for small repairs or uncertain scopes. The generator handles all three: the quantity is the rooms, square feet or hours, and the rate is your price per unit.
What you painted (rooms, walls, trim, ceilings or siding), the prep done, and the paint: brand, color name and code, sheen and number of coats. Put it in the line details under each row. It prints on the PDF, so the client has a record for touch-ups.
It usually helps. Scraping, patching, sanding and caulking take real time, and a separate prep line explains a higher total without the client guessing. If you include prep in a per-room price, say so in the details.
If the home was built before 1978 and you disturb painted surfaces, the EPA's RRP rule generally requires a certified firm and lead-safe practices. Minor jobs that disturb no more than about 6 square feet per room inside or 20 square feet outside are generally excluded, but window replacement and demolition are always covered. Some states run their own program. Check the EPA's guidance and your state's rules before you quote.
You can bill paint, primer, caulk and tape on one materials row, or list gallons of each product as their own rows. Either way, fold any markup into the rate. Sales tax on painting labor and materials varies by state, and the generator applies one tax rate to the whole invoice, so check your state's treatment.
The sample rows are one: interior per room, exterior, prep, paint and materials, and hourly labor. Price the ones that fit this job, rename them to match how you bill, and ignore the rest. Any sample row still at $0 is dropped when you download the PDF.
Downloading needs no account. A free account lets Pronto Invoice send the invoice for you: we email it to your client, tell you when it's opened, and remind your client if it's unpaid. You can also let your client pay by card once you connect Stripe. Card payment works on invoices you send, not on downloaded PDFs.
