What belongs on a plumbing invoice
Most plumbing calls start with water where it shouldn’t be, and the customer signs off on the work while they’re stressed. The plumber invoice is what they read once the floor is dry, so it has to explain the price, the parts and what you stand behind. Put the service address in Notes to client when it differs from the billing address, so the invoice ties to the right property.
Flat rate or time and materials, not both
Pick one pricing method per job and make it obvious. Flat-rate shops bill each task from their price book: “Drain clearing, kitchen line” at one fixed price, whether it took 25 minutes or 90. Time-and-materials jobs show labor as hours (quantity 2.5 at your hourly rate) plus each part on its own row. If your trip charge is waived once the customer approves the repair, say so in its line details.
Price the emergency call on its own line
A burst supply line at 11 pm on a Saturday costs more, and the customer knows it. Bill the after-hours or weekend premium as a separate surcharge row and write the call time in the details (“Called 11:40 pm Sat”). Folding it into a higher labor rate makes the invoice look padded and harder to defend.
Record model and serial numbers
Write the brand, model and serial number of every fixture you install into that line’s details: water heaters, disposals, toilets, faucets, sump pumps. The homeowner needs them to register the manufacturer warranty, and you need them when the same customer calls in three years about a leaking valve.
Itemize the water heater swap
A water heater replacement is rarely one line. List the heater (gallons, gas or electric), the expansion tank, pan, connectors and venting, haul-away of the old tank, and the permit if your jurisdiction requires one. Code-required parts vary by area: California, for example, requires new and replacement water heaters to be braced or strapped for earthquakes, and whether you need an expansion tank depends on local code and the home’s water system. Show any code-required part as its own line. The customer sees why the bill isn’t just the price of the tank.
Separate your warranty from the manufacturer’s
Your workmanship warranty covers your labor and connections; the manufacturer covers the product. Put your term in terms and conditions (for example “1 year on labor”) and say what voids it, such as customer-supplied fixtures. More billing habits are in the plumbing invoice guide.
