What belongs on a roofing invoice
A roofing invoice often has three readers: the homeowner, the insurance adjuster, and the shingle manufacturer if a warranty claim ever comes up. Bill in the units roofers actually measure in, and each of them can check your numbers on a repair or a full roof replacement.
Bill tear-off and install by the square
One square is 100 square feet of roof. Set the quantity to the squares you measured, waste included (say 28.5), and the rate to your per-square price. Keep tear-off and install on separate rows, and put the number of layers removed in the tear-off details, because a second layer of old shingles means more labor and more weight in the dumpster. Steep or high roofs get their own row, so the extra charge is visible.
Price decking before you see it
Nobody knows how much rotted plywood sits under the shingles until tear-off. Quote replacement as a unit price per 4×8 sheet, then bill the actual count on the final invoice, with a note like "9 sheets replaced, photos on file." The client agreed to the rate, so the quantity is the only thing that moves.
Match the insurance scope on claim jobs
On storm jobs, put the claim number and the property address in Notes to client and use the adjuster's line descriptions where you can. If you find damage the scope missed, bill the approved supplement as its own row instead of folding it into the original total. Rules on deductibles and contractor involvement in claims vary by state, so check yours before you talk money with the homeowner.
Show disposal and the permit
Dumpster rental, haul-off and landfill fees are real costs. Give them a row, and bill the permit at cost with the permit number in the details.
Name both roof warranties
The manufacturer covers the shingles; you cover the workmanship. Write both into terms, for example "Manufacturer warranty per product registration; workmanship warranty 5 years, this contractor," so nobody mixes them up when a leak shows up three winters later.
Take the deposit before the material order
Shingles, underlayment and drip edge get ordered days before the crew shows up. Within your state's deposit rules, send a deposit invoice first, then bill the balance on the final invoice and cite the deposit invoice number in the notes. The roofing invoice guide walks through payment schedules for bigger jobs.
